Part I: Wholesale / Bulk (stock) Product Policies

Are you seeking a wholesale / bulk “handcrafted” Health & Beauty provider? Herbal Art is happy to offer wholesale / bulk availability on most of our products. Please note that not all items listed on our website, events, trade shows, or (local) Studio location are available for wholesale/ bulk.
Most of our wholesale pricing is between (40-60%) off our listed “retail” pricing on our website. Wholesale orders require a “first-time” order of $200.00 and $100.00 there-after.

We do offer Custom Formulation development (to personalize your “own” product line), Private Label options, and Custom Fragrance development (to personalize “your” own specific fragrance).

Wholesale orders are as “seen” on our website: www.herbalartonline.com. Please contact us directly for detailed pricing and quantity amounts.
Per Case Quantities:
- + Soaps: (20) Bars to a case
- + Candles: (36) to a case
- + Petals: Order by (500) or (1000) count, minimum (ask for larger quantities)
- + All Other skincare labels: (24) to a case
Order Cancellations:
All of our handcrafted naturals are handmade to order. Once an order has been placed, you have a (24) hour time period to cancel your order, without penalty. After the (24) hour time period, starting from the date & time of purchase, no refunds or credits will be issued. Orders cancelled after the (24) hour time-frame will be charged 25% of the total order balance. No exceptions.
Since we do handcraft all of our naturals, this policy helps to keep pricing down and eliminate waste.
All cancellation requests must be emailed to: herbalart@comcast.net (in writing) NO verbal cancellations.
Shelf-Life:
All of our products have a shelf-life of approximately (12) months (please call to verify specific items). Please do not place "natural" products in direct sun, heat, or below freezing areas for use or storage.
Herbal Art reserves the right to adjust prices and policies at any time. If the website displays an incorrect price, we reserve the right to cancel your order and provide a refund or adjust to the current price. Due to world market costs, prices and styles are subject to change.
Herbal Art reserves the right to refuse or cancel any order at any time, for any reason. In such an occurrence, (ALL) monies will be fully refunded to the buyer, and product will be handled according to local laws and Herbal Art policy.

Due to seasonal changes, shipping transit, our natural ingredients and the handmade nature of our products, slight variations in size* and/or color may occur. Please be assured that regardless of such possible variations, all products are of 100% quality and such occurrences are common among the organic and natural ingredient beauty product industry.

Herbal Art assumes no liability for misuse or abuse of any of its products. External use only. Our products are not designed to "cure" any "illness or ailments," rather only to "assist" and/or "relieve" problematic symptoms.
Loyalty Discounts:
All wholesale orders that total over $2000.00, will receive “Free (USPS) Ground-Shipping”.
In addition, if your company is “local” to our manufacturing facility in Fishers, Indiana, we will “Deliver” your order to you. Lastly, you always have the option of “Free” (local) In-Shop Pick-up.
Special Promotions:
From time to time, we run special promotions on select products for limited periods of time. This could be based on various reasons. Please ask for specials!
Payment Methods:
All orders must be paid in advance of shipping/pick-up/delivery (unless otherwise approved).
We accept Cash, Visa, Master Card, Business Check and Money Order. (No C.O.D.)
We offer "Net (30) Terms” to “Wholesale” customers that meet our credit application requirements.
Orders that are not fully paid by the time of pick-up will not be released. No exceptions.
Turn-Around & Shipping Time:
Every order that is placed with Herbal Art is "hand-crafted" at the time of your order.
The average production time for an order is (7-10) business days. This does not include shipping (transit) time.
Exceptionally larger orders can take up to (3) weeks. Obviously, this does not include days we are closed, ie: weekends and holidays. During holiday seasons (September to December) expect an average of (10-14) business days to process orders. Please contact us for a more exact quote. Due to the nature of handcrafting, orders DO vary.
International Shipping:
We do not ship international, unless prior authorization is given.

Shipping/In-Store Pick-Up/Delivery:
Our default shipping agent is USPS.
In all cases we pass on our heavily discounted rates to you. We do not operate our shipping department as a profit center.
Wholesale shipping will be billed separately from your original purchase invoice.
Orders over $2000.00 will be shipped “Free” by means of USPS (ground). We always include “Delivery Confirmation” for added security.
We reserve the right to change or adjust the shipping charges. If this occurs you will be contacted for approval before your order is processed.
“Free” In-Shop Pick-Up is always available to all wholesale customers!
“Free” Delivery is always available for wholesale customers within our “local” Studio location!
Herbal Art takes no responsibility for any loss, damages, or delay (in shipping route) that may occur. Similarly, we must be notified should additional insurance be required. Without notification we ship products without insurance. Should a customer decide to handle their own shipping arrangements we require that a WAIVER be signed. This ensures that we aren't held accountable for any shipping issues outside of our control.
Return Policy:
There are no returns; except for replacement due to shipping damage.
"Due to the nature of the personal body care business, it is not possible for us to offer refunds or exchanges."
How to handle a return or damaged shipment:
Note: Do Not return anything to us without contacting us first. Please contact immediately if there are any problems (etc.) with your order.
Things do happen, whether it's human error in filling the order or damage in shipment, whatever the case, please inspect your shipment upon delivery.
You should immediately report any losses, shortages or damages to the delivery person. We do pack orders with very strong boxes, cushioned packaging, extra tape, and plastic bags but sometimes they (shipping companies) can still manage to destroy the box during transport.
We will reship once we receive a damage claim from the carrier, but only via the method that was originally requested on the original order.
Save damaged goods, cartons, and packaging materials until the claim is settled, or is otherwise instructed. Most of the time, we will require a picture of the damaged items (make sure the pictures are clear) to be e-mailed to us before any refunds or replacements are issued. Please contact us for instructions.
Note: Claims must be made within (3) days of received shipment

Our "small batch" manufacturing process also allows us to offer products that are made or created to your exact specifications. Everything from custom scents and colors to unique soap bar sizes and packaging. Available with relatively small minimums, thus giving you a high quality, unique product without a huge up-front investment.
To begin work, we require a minimum of a 25% deposit on all "custom" or "private label" orders under $2000 and a 50% deposit on orders over $2000. NO EXCEPTIONS.

What about the packaging?
Our packaging abilities include almost any bottle or jar. Just send us a sample of your packaging, to see if it will qualify to be filled by our equipment.
Once you have decided on the packaging for your project you can order your packaging and simply have it drop shipped directly to our facility. If you want us to source your packaging, then we can certainly offer this service as well.
How much does is cost?
The total estimated cost for your project can only be determined once we have all the details like the product(s) chosen plus packaging, quantity, labeling requirements, and finishing details. Customized ingredients will result in additional costs. Additionally, we do require that you obtain a pre-production sample of any customer product, and approve before any production begins.
Additional Costs:
Your general quote can take up to 10 business days to complete once we get all required information. The initial quote is Free. Note: Excessive quotes due to multiple changes (after the original quote is set into motion) may be billed at our regular rate of $10.00 per hour.
Our R&D (research & development) fee is the lowest around! You will find that most larger companies charge between $75.00-$150.00 per hour or more.
We do charge a $35.00 per hour “Research & Development Fee”. Orders will vary in time. We will calculate an estimated time for your order before production (this includes samples).
If you want us to “fill” or “package” your products, there will be an initial “Packaging Fee” of $30.00 (up to an hour) and then $20.00 per hour until completed. Orders will vary in time. We will calculate an estimated time for your order before production (this includes samples).
If you would like us to affix your Private Label designs (on your products) for you, we charge a “Labeling Fee” of $20.00 per hour. Orders will vary in time. We will calculate an estimated time for your order before production (this includes samples).
What about labels and the legal stuff?
Labels and their content are your ultimate responsibility, but we are happy to review your label proofs at no charge to help you avoid any possible issues if we are filling your products for you. Note: We must already have a contract for work before we can offer this free service. We do not review non-client labels. Ultimate responsibility for label content is yours, be sure you are FDA compliant.
Depending upon what you are looking for, our in-house graphics design department can make it happen. We can have short or long run labels done for you at a competitive cost. If you are looking for other options, like POP Displays, Boxes, Brochures, Banners, Posters, CD's, and much more, contact our Graphic Department for details on how we might be able to help with your needs. All wholesale orders, including Custom Formulation & Private Label will arrive with our basic “Promotional” starter materials. Note: Each order may require different materials. Please ask!
How long does a quote take?
Your general quote can take up to 10 business days to complete once we get all required information.
If you do not reply to our queries about your quote request, we will file your request till we hear from you. Note that quotes are only good for 5 to 15 days, so if you are not ready to place your order you may want to delay the quote request.
What happens next?
Once you confirm your project details we will email you a contract with all the details so that there are no misunderstanding. We must receive this signed contract and any other required forms along with your down payment, as well as all the other items that you will be supplying before we will put your project on the production schedule.
We require a (25%) deposit on ALL “Custom / Private Label” orders.
Note: Please do not request a quote if you are not going to be ready to start production within 15 days as the quotes are only good for 5 to 15 days. Having us spend time quoting and not doing the project will cause additional delays as we will need to completely re-quote your project. Plan ahead.
What about my privacy?
Herbal Art has done custom manufacturing, over the years, for several companies and we are very committed to our policy on privacy for our clients. We will not reproduce or sell any custom products formulated for any of our clients. We will sign a Confidentiality Agreement with all new clients. This Confidentiality Agreement should be sent to us before we issue any quote for any type of custom formulation or private labeling project. If you have additional documents that your company requires us to sign, we will need to review and approve those documents prior to starting your project.
Note: If your additional documents alter or change the intent of our agreement, then we will not be able to sign them.
